A back office for one artist
Gallery software is built for galleries with many artists. You have one body of work, and everything you do, every show, sale, post and price, hangs off a work in it. So that’s how we build it: the catalog of your works at the center, and the rest reading from it.
We built it first for Sara Paula Hoffman, a visual artist, a step at a time, and it runs her studio today. She’s our partner in bringing it to other artists.
01 · How it fits together
Your works at the center
Every work is recorded once: its size, medium, price, where it has hung and who owns it now. That record is the start of a catalogue raisonné, the complete list of an artist’s work. Your website, price sheets, shop and search listings all read from it. Change a price or a title once, and it changes everywhere.
02 · What it does
Thirteen services, each running for Paula or ready to
Take the ones you need. Each one says when it started for Sara Paula Hoffman, the artist we call Paula, and whether she uses it yet.
In use · since July 2026
Your work at its true size
A website that shows every work at the size it is, with a viewer that zooms on any phone.
For Paula: Replaced her old site, and kept every old address working.
Portfolio website · instead of Webflow, Squarespace
In use · since July 2026
One catalog behind everything
Every work recorded once, with its size, medium, price and where it has hung; the site, price sheets, feeds and search listings all read from it.
For Paula: Replaced her inventory spreadsheet, where 32 of 33 available works had no price.
Catalogue raisonné, collections management · instead of Spreadsheets
Just started · since October 2026
Who owns your work
People who own one of your works can register it on your site. They choose how the label names them, such as a private collection in their city, and you hear when they do.
For Paula: The first owner registered on October 10, 2026, as a private collection in New Orleans.
Provenance registry
In use · since August 2026
Prices from your own formula
Your prices come from your own formula, worked out the same way every time: a rate for each inch of size, plus materials and a share for framing and care. A gallery’s commission is built in.
For Paula: Every price on her site shows its working; price sheets for galleries come from the same numbers.

Offers instead of a cart
A buyer makes an offer on the work’s page; while it hangs in a show, the offer goes to that gallery.
For Paula: Offers reach her desk by email; two works have sold, each through a gallery.

A shop on Facebook and Instagram
Your catalog as a product feed, so your works appear in your Facebook and Instagram shop and lead back to your offer form.
For Paula: Her catalog goes to her shop on Facebook and Instagram each day. It began in October 2026.
Product feed, social commerce · instead of A separate shop
Just started · since October 2026
One post a week, approved by you
A post about one work, drafted a week ahead, sent to Facebook, Instagram and your mailing list only after you approve it.
For Paula: Connected to her accounts in mid-October 2026.
Social scheduling, email broadcast · instead of Later, Buffer, Mailchimp
Just started · since October 2026
Your own mailing list
A sign-up on your site, confirmed by email, kept in a list that’s yours.
For Paula: Started from zero in October 2026: her old site’s sign-ups couldn’t be moved.
Email list · instead of Mailchimp
In use · since October 2026
Who looks, and at what
Which works people stop at, zoom into and ask about, with no cookies, and a short email every Monday.
For Paula: Her Monday email lists the week’s visits and the works people looked at longest.
Analytics, reporting · instead of Google Analytics
In use · since August 2026
A daily check on works in galleries
Every morning, your works on consignment are checked against the gallery’s own listing: still there, still priced, or sold.
For Paula: Checked her works at LeMieux in New Orleans each morning, until her show there closed in September 2026.
Consignment monitoring
Built, waiting · since October 2026
Shows, calls and deadlines
Every show and open call with its dates, works and fees, and a reminder before each deadline and drop-off.
For Paula: Built; it starts working when she enters her next call.
Exhibition management, submissions tracker · instead of CaFE’s tracker, a wall calendar
Built, waiting · since October 2026
What the web says about you
Once a month, what search engines and AI assistants say about you, checked against what’s true.
For Paula: Its first monthly check is November 1, 2026.
Reputation monitoring
In use · since October 2026
A studio page for your answers
A private page where you answer questions, confirm what we write about you and approve each week’s post.
For Paula: She has answered there three times since October 4, 2026.

03 · How we start
Your works first
We start where Paula did: your works, recorded once, and your prices, worked out your way. Everything else is added a step at a time, the way hers was. Your domain, your prices and your list of buyers stay yours.
They share the digital studio activity, viewer’s interest and enquiries similar to a physical gallery space.
